Turn a meeting with your AI team into an approved plan

Start a meeting with your AI team on any topic: attendees picked with a reason, answers from your company data, minutes saved, and outcome cards you approve.

In short

  • Start a meeting from the Team page on any topic; Squad picks the attendees and tells you why each one is there.
  • Answers come only from your company's data, and the meeting ends with minutes in your file bank and outcome cards you approve or reject.
  • Your company's first owner meeting is free, and a project whose meeting already covered the kickoff topics skips the kickoff.

Squad lets you start a meeting with your AI team on any topic. Squad picks the attendees and tells you why each one is there, answers come only from your company’s data, and the meeting ends with minutes in your file bank and outcome cards — a new project, a goal with a KPI, a change, a task or a hire — that you approve or reject.

When is a meeting the right tool?

When a question crosses roles. “Why did repeat orders slow down?” touches your numbers, your marketing and your operations. “Should we add a second product line?” touches pricing, stock and cash. Asking one role at a time gets you partial answers; a meeting puts the right roles in one place and ends with something you can act on.

A meeting is also useful when you don’t yet know what you want. You can start with a worry rather than a goal, and let the discussion turn it into one.

What do you need before you start?

  • A company that has been onboarded, so Squad has your company card and your confirmed rules.
  • Something to work from. Documents in your file bank, or a connected Google Workspace or Notion. The more of your real material the team can read, the better the answers.
  • A topic in one sentence. “Plan our holiday season” is fine. So is “Why are we losing customers after the first order?”

How does it work, step by step?

  1. Open the Team page and choose “Start a meeting”. Write the topic.
  2. Check the attendees. Squad pre-selects the roles that should be there, each with a reason — for example, a Data Analyst because the question is about a trend in your orders, and an Operations Manager because stock levels are involved. Add or remove anyone.
  3. Talk it through. Ask questions, push back, ask for alternatives. Answers come only from your company’s data: your documents, your connected systems and your earlier answers. When something isn’t in the data, the attendee says so rather than filling the gap.
  4. Read the minutes. When the meeting ends, the minutes are saved in your file bank. They become part of what the team works from, so you won’t be asked the same things again.
  5. Decide on the outcome cards. Each concrete result of the meeting becomes a card you approve or reject.

What can come out of a meeting?

Outcome card What approving it does
New project Starts a project from what was agreed in the meeting
Goal + KPI Sets a measured outcome: a number from a connected system, a target and a window
Change Changes something already running, such as a plan or a rule the team follows
Task Gives one piece of work to the right role
Hire Adds a role to your AI team

Rejecting a card is just as useful. Add a note and the team knows what you didn’t want, and why.

Does a new project still need a kickoff?

Normally every project starts with a short kickoff meeting where you approve the plan, and work is dispatched only from that approved plan. But if your meeting already covered the kickoff topics, the project skips the kickoff. Squad doesn’t ask you twice for answers you’ve already given.

What stays in your hands?

Every outcome. A meeting produces proposals, not actions. Nothing starts, changes or gets hired until you approve the card. And once a project is running, outward actions — sending, publishing, writing to a system, spending — still wait for your approval by default.

What does it cost?

Your company’s first owner meeting is free. After that, meetings use credits like the rest of the team’s work, and you can see your balance and your spending cap at any time. Plan details are on the pricing page.

Where it stops

  • No invented answers. If the data isn’t there, the attendee names what’s missing and suggests where to get it.
  • No action without a card. Decisions in the meeting don’t run until you approve them.
  • No replacing your people. The meeting is with your AI team. It can prepare a decision; it doesn’t make the decisions that belong to you or your staff.

Questions

Can the AI team make things up in a meeting?

Answers come only from your company's data: your documents, your connected systems and your earlier answers. When the data isn't there, the attendee says what's missing instead of guessing.

Does anything happen automatically after the meeting?

No. The meeting produces outcome cards — a new project, a goal with a KPI, a change, a task or a hire — and nothing happens until you approve a card.
